CHURCH, SCHOOL, NON-PROFIT EVENTS
After you confirm your booking and pay your balance, let us know if you would like promotional materials, W-9 or Liability Insurance documents emailed or if you need our staff to fill out any vendor information.
DEPOSIT/REFUND/CANCELLATION POLICY
After we review your booking request we will send you a full payment request. Please be ready to pay right away and monitor your emails after you submit your request. Payment is required within two hours after you are approved and many are approved quickly. If we need to adjust your time or location we will contact you right away. A valid credit or debit card is required to guarantee and pay for your reservation. Please note that booking dates are confirmed and reserved once we have received the total payment. If payment is not made within two hours of being approved your reservation is canceled within the day releasing your date for others to book. There will be a $25 cancellation fee for all parties or events canceled after payment is received. NO REFUND in the event of reservation being canceled within 14 days of your event. We will make every effort to postpone your event, with no penalty, to another date should cancellation be necessary.
PRIVACY POLICY
Hyperspace Starcade, LLC is committed to protecting your privacy. We use the information we collect on our website to make bookings as simple as possible and to enhance your overall experience. We do not sell, trade, or rent your personal information to others.
TIPPING COACHES GRATUITY IS SUGGESTED AT 10 – 15% AND IS OPTIONAL
It is our pleasure to have the opportunity to serve you. Our Game Coaches are there to make sure that your group is making the most of our high-tech fun. We tutor, inspire and entertain. Please consider us as you would other forms of entertainment and service where tipping for good service is a great idea, but not required. We appreciate you! TRAVEL SURCHARGE
Our general service area is a 70 mile radius from Rochester, Minnesota (55904). There are no travel fees for the first 25 miles. We do charge a travel surcharge fee when we must travel beyond 25 miles to an event. See our Service Area page for coverage areas.
BAD WEATHER
Our Game Station is designed for all types of weather conditions. It is insulated and climate-controlled with heating and air conditioning. There may be occasions when the weather does not want to cooperate with your scheduled event. In the event of severe weather (severe thunderstorm or tornado warnings, winter storms, extreme flooding, very high winds, or bad road conditions) we reserve the right to reschedule your booking to guarantee the safety of you and your guests, our staff, and the equipment. If the threat of these storms threatens your event and you are aware in advance please contact us to begin the rescheduling. Laser Tag can be played indoors or outdoor, so we suggest an indoor venue during winter.
SUPERVISION
Hyperspace Starcade does require a parent or responsible adult to be present inside or just outside of the Game Station (or on the premises for Laser Tag events) at all times. Children 5 years old and under must be accompanied by an adult at all times.
GAME THEATER/TRAILER RULES
No food or drink inside (bottled water is ok). No jumping or running allowed. Please do not touch the TVs, game systems, or the controllers beneath the TVs. Do not remove any controllers or game discs from the vehicle. Place shoes on the shoe racks if you want to sit on the top row of the benches. No cursing or foul language. Children 5 years old and under must be accompanied by an adult at all times. The number one rule is HAVE FUN!
ALCOHOL/DRUGS
You may serve alcohol at your event, however, we reserve the right to refuse, cancel or cut short any party when the consumption of alcohol creates a disturbance. Drugs of any sort will not be tolerated in or around the Hyperspace Starcade, LLC equipment. Any observed use of illegal narcotics or legal narcotics used in an illegal manner will result in the termination of the event immediately.
DAMAGE/INJURY
Hyperspace Starcade, LLC or any of its employees will not be responsible for any damage to property resulting from a request by the client to position the theater in a specific location. This includes both above ground and below ground property/equipment damage. Additionally, Hyperspace Starcade, LLC reserves the right to charge the client’s credit card for damages to the trailer or equipment resulting from the careless or willful damage by the client or their guests. Hyperspace Starcade, LLC or any of its employees assume no responsibility for any injuries sustained on the client’s property or their designated location.
COVID-19
We have taken enhanced health and safety measures—for you, our other Guests, and Game Coach members. HyperSpace Starcade now leaves the decision if masks will be required and physical distancing up to the party host who is booking HyperSpace Starcade. Please request your guests prior to your event to not attend if they have been sick recently or think they possibly could be sick. An inherent risk of exposure to COVID-19 exists in any public place where people are present. COVID-19 is an extremely contagious disease that can lead to severe illness and death. According to the Centers for Disease Control and Prevention, senior citizens and Guests with underlying medical conditions are especially vulnerable. By booking your event with HyperSpace Starcade you voluntarily assume all risks related to exposure to COVID-19. HyperSpace Starcade LLC is not a brick and morter facility hosting events we are a mobile entertainment service provider attending a client/host’s event. The legality related to events adhering to state and local laws is the sole responsibility of the client/host and not the responsibility of HyperSpace Starcade LLC. Hyperspace Starcade, LLC or any of it’s game coaches assume no responsibility for any risks, illness or death related to exposure to COVID-19. Help keep each other healthy.
PICTURES/VIDEO
While your party is in effect our Game Coaches may be taking pictures and videos of the party from inside the Game Station or from the laser tag playing field. We may use these to post on our website or on social media for marketing purposes. If you do not want them taken or do not want them to be posted online, please notify our Game Coaches prior to the start of the event or make the appropriate choice for this option during booking.
OUR THEATER/TRAILER
When the truck pulls up, we will try to park in the most level and logical spot to accommodate your party. Oftentimes we park on your neighborhood street, so you might want to let your neighbors know (in case they may object) or let us know if you have a preferred spot for us to park at. We might also have to block a driveway. Please keep in mind that our Game Coaches will not park anywhere that may cause a danger to persons, property or equipment. Our truck and trailer combination is very long and we will need a minimum of 60 feet of space to park. Most of the video games do not require any internet, but if we are requested to connect the trailer to the internet (for certain games like Fortnite or ROBLOX) we will attempt to do so, although we do not guarantee we will be able to connect successfully.
VIRTUAL REALITY DISCLAIMER
Virtual Reality is a VERY immersive experience and can affect everyone differently. Please read the following disclaimer to be included on individual waivers for the participants. I AM VOLUNTARILY PARTICIPATING IN THE AFOREMENTIONED ACTIVITY AND I AM PARTICIPATING IN THE ACTIVITY ENTIRELY AT MY OWN RISK. I AM AWARE OF THE RISKS ASSOCIATED WITH PARTICIPATING IN THIS ACTIVITY, WHICH MAY INCLUDE, BUT ARE NOT LIMITED TO, PHYSICAL OR PSYCHOLOGICAL INJURY, PAIN, SUFFERING, TEMPORARY OR PERMANENT DISABILITY, ECONOMIC OR EMOTIONAL LOSS, AND DEATH. I UNDERSTAND THAT THESE INJURIES OR OUTCOMES MAY ARISE FROM MY OWN OR OTHERS’ NEGLIGENCE, OR THE CONDITION OF THE ACTIVITY LOCATION(S). Pre-existing Medical Conditions: People who have previous medical conditions such as severe headaches, ear-aches, or psychiatric disorders, should see a doctor before using our VR headsets. Some people may experience seizures triggered by flashing lights or patterns while experiencing virtual reality, even if they have never had a seizure before, or have no history of epilepsy or seizures. Anyone who knows or believes they may have previously experienced a seizure or other symptom linked to an epileptic condition should see a doctor prior to using our VR headsets.
Motion Sickness: People who are prone to motion sickness have a risk of experiencing discomfort when using Virtual Reality. Do not use when you are sleep deprived, are under the influence of drugs or alcohol, or have digestive problems.
Age Restrictions: Children under the age of 14 must be accompanied by an adult over the age of 18.
VIDEO GAME RATINGS
Hyperspace Starcade, LLC will not play any mature-rated “M” video games in the Game Station without a request from the client prior to the event or adult approval at the time of the event. Feel free to request game titles when booking, notifying us via email, or letting our Game Coaches know when they arrive.
